How we migrate your EposNow catalogue

SamcoPOS exists because we ran a supermarket on EposNow and got tired of the add-on fees. When we built our replacement, the very first hurdle was our own: moving over a thousand products off the old system without retyping them. The import wizard is the tool we built for that move — and it ships free with every plan.

What the wizard brings over

For every product in your export, the wizard imports the name, selling price, cost, category, tax rate, barcode, PLU, and whether the item is sold by weight (loose produce, deli items). Categories that don't exist yet in SamcoPOS are created automatically during the import, so your department structure comes across with the products.

Step 1 — Export your products from EposNow

In the EposNow back office, export your product list as a CSV file. That file is all you need.

One important habit: don't open the CSV in Excel first. Excel silently rewrites long barcodes into scientific notation ("6.5E+12"), which corrupts them. The wizard detects this, warns you exactly which barcodes were affected, and still imports those products — just without the barcode. To keep every barcode, upload the file exactly as EposNow exported it (or format the barcode column as Text before saving).

Step 2 — Upload and map columns

In SamcoPOS, go to Settings → Import and upload the file. The wizard recognises EposNow's standard column headers automatically and maps them for you — name, selling price, cost, category, tax percentage, barcode, PLU. If your export uses unusual headings, you adjust the mapping from a dropdown; only Name and Price are required.

Step 3 — Validate before anything lands

Nothing touches your catalogue until you've seen a full validation report: how many rows are valid, every row-level error listed with its row number, and a preview of the products with their price, VAT treatment, and category. Items with a tax rate import on your standard VAT band; items marked 0% come in as zero-rated — matching how staple goods are handled at St. Lucian tills.

Only when you press the import button do the valid rows land. Duplicate barcodes and PLUs are skipped rather than doubled, and the wizard shows you exactly which rows were skipped so you can review whether each was a genuine duplicate.

Step 4 — Check your till

Your products are now live on the till, organised by category. A short checklist we recommend after any migration:

Prices in SamcoPOS are stored VAT-inclusive — the number your customer actually pays — and the VAT is backed out per line on the receipt, the way island retail actually works.

Weighing scales with price-embedded barcodes? SamcoPOS recognises price-embedded EAN-13 scale barcodes at the till, matching the item by PLU and ringing it at the embedded price. Mention your scale setup when you get in touch and we'll confirm the format.

What it costs

Nothing. Some imported POS providers charge for catalogue imports as a paid service, per import. The SamcoPOS wizard is included with every plan, and you can run it as many times as you need — it's the same tool we used to move our own supermarket's catalogue of over 1,400 products off EposNow.
